1. Why it matters

The biggest lever on training quality

The Knowledge Library is your company's reference shelf inside OneRange Vero. Upload your policies, playbooks, product docs, and methods once, and Vero draws on the most relevant passages in every course, assessment, and training session for your company, including Vero AI Catalog courses. Training then uses your terminology, your tools, and your way of doing things instead of the generic version.

2. Finding it

Where the library lives

Open the menu on your name at the bottom-left, choose Company Settings, and click Manage on the Knowledge Library card. The library has three tabs: Company Context, Documents, and Connections. Admins manage the library.

3. Adding documents

Formats, folders, and uploads

FormatsPDF, Word (DOCX, DOC), PowerPoint (PPTX, PPT), Excel (XLSX, XLS), CSV, TXT, and Markdown.
SizeUp to 20 MB per file.
UploadingUpload files, Upload folder (keeps the sub-folder structure), or drag and drop onto the page.
FoldersCreate nested folders with New folder. Rename or delete a folder from its menu; deleting removes everything inside.
Bulk actionsTick several documents to Move to another folder or Delete them.

Open Edit on any document to change its name or folder, add a Description of what is in it and when Vero should use it, or Upload new version to replace the file and re-index it.

4. Document status

Knowing when a document is ready

PendingWaiting to be processed.
IndexingVero is reading the document and preparing it for search.
ReadyAvailable to Vero in training.
Extraction failedVero could not read it. The error is shown. Click Retry, or Retry all when several failed.

Common causes of failure are password-protected files and unsupported formats. Scanned PDFs are read automatically with text recognition, so image-only PDFs usually work; if one still fails, export a text-based PDF and upload it as a new version.

5. Connections: GitHub and Notion

Keep the library in sync with where docs are written

On the Connections tab, you can sync documents automatically instead of uploading them.

GitHubInstall the Vero GitHub app, pick the Repository, Branch, an optional Path prefix, the Destination folder, and the file types to include. Changes you push are picked up within a minute or two.
NotionClick Connect Notion, choose the pages and databases to sync, and a destination folder. Pages refresh as they change.

Both offer Sync now, Pause sync, and Disconnect. Disconnecting keeps documents already synced. Synced documents show GitHub or Notion in the Source column.

6. Company Context

The profile Vero applies to every session

Company Context is a structured description of your company that Vero uses in every training session and when it generates your courses, topics, and assessments.

Click Draft With AI and Vero drafts every field from your Knowledge Library, the existing fields, and your Company Website. Review each field, see which sources were used, and click Approve & Save or Discard Draft. The whole profile holds up to 8,000 characters.

Tip: Spend the most time on Terminology & Glossary. When Vero uses your internal names for things, training immediately feels like it was written in-house.

7. How Vero uses your material

Search, pins, and course documents

Every replyVero searches the whole library and uses the most relevant passages.
Pinned documentsPinned to a course from the library, individually or by folder. Always included for that course.
Course reference documentsUploaded directly to one course. Always included for that course.
Links in Context NotesUp to five web pages read when the course is generated. They are not added to the library.
In the lessonWhen Vero draws on a document, learners can download it from the chat.

To pin, use Pin from knowledge base in the course builder, or Add from Knowledge Library on a course page. You can also pin documents when you customize a Vero AI Catalog course or configure an interactive activity.

Library changes apply to the next training reply. Replace a policy with a new version and courses start using it without being rebuilt.

8. Controlling where it applies

Company material, standard courses, and client programs

Per assignmentApply company context is on by default. Turn it off to teach the standard course without Company Context, customizations, or the Knowledge Library. The course's own documents still apply.
Per Vero AI Catalog courseCustomize adds your instructions, emphasis, examples, and pinned documents to one catalog course. See the Vero AI Catalog guide.
Per programA program can use your company's material, its own separate profile and documents (for training another organization), or no organizational material.

9. Security and separation

Your material stays yours

  • Documents are stored and searched only within your company's workspace.
  • A program with its own material keeps a separate library, so client documents do not mix with yours.
  • Deleting a document removes it from search, and courses stop drawing on it.

10. What makes a good document

Getting the most from each upload

  • Specific to how your company works, not the textbook version.
  • Text-based PDFs, Word, and Markdown extract most cleanly.
  • Focused files work better than one enormous manual. Split long documents by topic.
  • Define internal acronyms, or add them to Terminology & Glossary.
  • Add a Description so Vero knows when the document applies.
  • Keep it current: use Upload new version rather than deleting and re-uploading, or sync from GitHub or Notion.

Quick answers

Do I have to rebuild courses when a document changes?

No. Upload a new version and Vero uses it on the next training reply.

Can other companies see our documents?

No. Your library is stored and searched only within your company's workspace.

What is the difference between pinning and the library?

Vero searches the whole library automatically. Pinning guarantees a document is always included for a specific course.

Can I keep a client's material separate from ours?

Yes. Create a program with its own material. It gets a separate profile and document library.

Who can manage the Knowledge Library?

Admins, from Company Settings.
